The event manpower planning checklist for Singapore organisers.

Registration, ushers, brand ambassadors, and backstage crew: a practical timeline from six weeks out to show day.

Large-scale events in Singapore, from MICE conferences at Marina Bay Sands to outdoor activations, live or die on manpower execution. Use this checklist to stay ahead of common bottlenecks.

Six weeks before

Lock headcount by zone: registration, ushering, brand activation, backstage, and VIP handling. Share floor plans, run-of-show, and uniform requirements with your agency. Confirm MOM-compliant rest break schedules for shifts exceeding six hours.

One week before

Conduct a unified briefing, ideally on-site, covering wayfinding, emergency exits, VIP protocols, and comms channels. Issue lanyards, radios, or WhatsApp groups. Confirm backup headcount of 10–15% for no-shows.

Show day

Deploy a supervisor per zone with direct line to your event producer. Brief staff on staggered meal breaks before doors open. Debrief within 48 hours to capture learnings for your next event.
